DomuTax Privacy Policy

Last Updated: February 23, 2026

Introduction

Thank you for trusting DomuTax LLC ("DomuTax," "we," "us," or "our") with your personal information. We are committed to protecting your privacy and being transparent about how we collect, use, and safeguard your data.

This Privacy Policy explains what information we collect when you visit our website (www.domutax.com), use our client portal, or engage our property tax protest services (collectively, the "Services"), how we use that information, and your rights regarding it.

This Privacy Policy is part of our Terms of Service. By using our Services, you agree to the practices described here. If you do not agree, please do not use our Services.

As used in this Privacy Policy, "Personal Information" means information that can be used to identify you, such as your name, email address, phone number, or property address. It does not include aggregated or anonymized data that cannot be linked back to you.

1. Information We Collect

Information You Provide to Us

When you create an account, enroll a property, or contact us, you may provide:

  • Contact information — your name, email address, phone number, and mailing address.
  • Property information — property address, County Appraisal District account number, and details about your property's condition, improvements, or known issues (e.g., photos, repair estimates, inspection reports).
  • Authorization documents — signed Representation Agreement and Appointment of Agent forms.
  • Payment information — billing details necessary to process your payment. All credit card and payment card data is processed and stored by our payment processor, Stripe. DomuTax does not store your full credit card number on our servers. You can review Stripe's privacy policy at stripe.com/privacy.
  • Communications — any messages, feedback, or information you send us through email, our client portal, or other channels.

Information We Collect Automatically

When you visit our website, certain information is collected automatically through cookies and similar technologies:

  • Device and browser information — browser type, operating system, device type, and screen resolution.
  • Usage data — pages visited, time spent on pages, links clicked, and referring URLs.
  • IP address and approximate location — your IP address and the general geographic area derived from it (city, state, country).

We use Google Analytics and Google Ads conversion tracking to understand how visitors use our website and to measure the effectiveness of our advertising. These tools use cookies and similar technologies to collect usage data. We may also use Meta (Facebook) Pixel or similar advertising tools in the future for the same purposes.

Information from Other Sources

We may obtain publicly available property data from County Appraisal Districts, public records databases, and other government sources to analyze your property and prepare your protest case. This data typically includes property valuations, sales records, exemption status, and comparable property information.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing our Services — to represent you in property tax protests, including filing protests, preparing evidence, attending hearings, and negotiating on your behalf.
  • Managing your account — to create and maintain your client portal account, process enrollments, and track your protest status.
  • Processing payments — to invoice you for services rendered and process payments through Stripe.
  • Communicating with you — to send you status updates about your protest, invoices, payment reminders, and important notices about your account or our Services.
  • Marketing communications — to send you promotional messages about our Services, such as reminders about upcoming protest deadlines or new features. You can opt out of marketing communications at any time (see Section 7).
  • Improving our Services — to analyze how our website and Services are used, identify trends, and improve user experience.
  • Advertising measurement — to measure the effectiveness of our advertising campaigns through Google Ads and similar platforms.
  • Legal compliance — to comply with applicable laws, regulations, and legal processes, and to enforce our Terms of Service.

3. How We Share Your Information

DomuTax does not sell, rent, or trade your Personal Information to third parties for their marketing purposes.

We may share your information in the following limited circumstances:

  • County Appraisal Districts and government bodies — we share your property and authorization information with the relevant County Appraisal District and related governmental bodies as necessary to file protests, attend hearings, and represent you. This is a core requirement of our service.
  • Payment processor — we share billing information with Stripe to process your payments. Stripe handles your payment data under its own privacy policy.
  • Analytics and advertising providers — we use Google Analytics and Google Ads (and may use Meta Pixel) which collect usage data through cookies on our website. These providers may use this data to provide analytics and measure ad performance. We do not share your name, email, phone number, or property-specific information with these providers.
  • Service providers — we may share information with vendors who help us operate our business, such as email delivery services (e.g., for sending status updates or invoices), cloud hosting providers, and customer support tools. These providers are contractually obligated to use your information only to perform services on our behalf.
  • Legal requirements — we may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers — if DomuTax is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

4. Cookies and Tracking Technologies

We use cookies and similar technologies on our website for the following purposes:

  • Essential cookies — to enable basic website functionality, such as maintaining your logged-in session in the client portal.
  • Analytics cookies — Google Analytics uses cookies to help us understand how visitors interact with our website, including which pages are visited and how long visitors stay. This data is aggregated and does not personally identify you.
  • Advertising cookies — Google Ads and similar platforms use cookies to track conversions (e.g., whether someone who clicked an ad later signed up for our service) and to support remarketing (showing relevant ads to past visitors).

Managing Your Cookie Preferences

Most web browsers allow you to control cookies through their settings. You can typically choose to block or delete cookies, though doing so may affect certain features of our website (such as staying logged in to the client portal).

You can also opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on. To manage your Google Ads preferences, visit Google Ad Settings.

5. Data Retention

We retain your Personal Information for as long as necessary to provide our Services, comply with legal obligations, and enforce our agreements. Specifically:

  • Active clients — we retain your account and property data for the duration of your client relationship and for a reasonable period afterward to handle any billing, dispute, or legal matters.
  • Former clients — after your agreement is terminated, we retain records as required by applicable law and professional standards, after which data is securely deleted or anonymized.
  • Website visitors — analytics and cookie data is retained according to the default retention periods of the respective analytics tools (typically 14–26 months for Google Analytics).

6. Data Security

We implement reasonable technical and organizational measures to protect your Personal Information from unauthorized access, disclosure, alteration, or destruction. These measures include secure hosting, encrypted data transmission (HTTPS/TLS), and access controls limiting who within DomuTax can view your information.

However, no method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Your Rights and Choices

Communication Preferences

  • Marketing communications — you can opt out of marketing emails at any time by clicking the "unsubscribe" link in any marketing message or by contacting us. Even after opting out of marketing, you will continue to receive transactional communications related to your account and active protests.
  • SMS/text messages — you can opt out of text messages at any time by replying STOP to any message or by contacting us. Standard message and data rates may apply.

Your Privacy Rights Under Texas Law

Under the Texas Data Privacy and Security Act (TDPSA), Texas residents have certain rights regarding their Personal Information, including the right to:

  • Access — confirm whether we are processing your Personal Information and request a copy of it.

To exercise any of these rights, please contact us using the information in Section 11. We will respond to verified requests within the timeframes required by applicable law. We will not discriminate against you for exercising your privacy rights.

If we deny your request, you may appeal by contacting us. If you are unsatisfied with our response to your appeal, you may contact the Texas Attorney General's office.

8. Do Not Track / Global Privacy Control

Our website honors Global Privacy Control (GPC) signals as a valid request to opt out of the sharing or sale of Personal Information linked to your browser. There is currently no uniform standard for Do-Not-Track (DNT) browser signals, and we do not otherwise respond to DNT signals.
